Walk for Celiac Meeting Minutes for April 10, 2007

Attendees: Denise Ramey, Maria Eckhoff

The walk is set for Saturday, May 12, 2007. Registration opens at 8:00 a.m., walk starts at 9:00 a.m.

Confirmed Vendors at walk:  Moondance/Shelley Ritchie; Jungle Jims/Jill Denton; Aller-Energy/Mark Christian, Kettering; Bread for Life/Eaton, OH;

T-Shirts—Never got second quote from Eatonform so we’re going with Express Graphics. We need to get shirts done ASAP. (We had them by early March last year.) Maria gave Denise the CD with sponsor logos.
Old shirts—why haven’t they been put on the web site? Need to bring them to the walk--$2.00 each.

Media/Public Relations - We’re on Roncker’s online calendar; also sent the information to people in charge of Down Syndrome newsletter and their other publications (reaches over 3000 people); we’re on Cincinnati.com’s calendar;
· Maria checked with the development director at McAuley High school—no response
· We have plenty of posters—how can we get them out? coffee shops
· Moondance/Shelley Ritchie—Tanya O’Rourke at Channel 9 is a friend of hers
· What about potential celebrity "Grand Marshal?"
· Other ways to get the word out as widely as possible? Jim Scott or other radio personalities that would do an on air interview 2-3 weeks before the walk?
NEED VOLUNTEER HELP

Form Distribution - Maria coordinating this effort. All entry forms should be distributed by the end of this week. Has list of places to drop off entry forms. Volunteers did not come forward. A large chunk had to be mailed.

Pre-registration - Denise Ramey collecting entry forms and money. Sent entry forms to last years walkers and hospital/dietitian list. 40 preregistered so far, 4 long sleeve shirts

Teams - Available to download from the website or have mailed. Teams registered so far? None

Raffle - Jill posted the file on the website so people can download/print additional sheets of raffle tickets. Can always use additional nice/big prize donations.

Sent wrong letter directly to Tracy Burnett for a Hyatt donation—will resend
All donated items will be used as raffle items or as prizes to teams/individuals who bring in the most money; food items will also be available to sampling the day of the walk—gift certificates especially good for team incentives

Wrist bands - We still have some available—will take to walk

Information - Denise needs help assembling info packets for walkers on April 28
Sports Nutrition to Go/Dawn Weatherwax-Dietician; Prometheus/Paula Monahan will try to be there.

R.O.C.K. - Robin Temke. Kids area—depends on volunteer; grab bag for a quarter

Refreshments - Ann Barlow?
Barb will arrange for 8-10 cases of water to be donated from Culligan and will call Starbucks about donating coffee/hot water for the volunteers; Jill Denton will have samples, Denise will probably have 123GF samples

Pick up of baskets - need to be very clear about GF products only Wild Oats—Need to find out when Paula wants baskets picked up from Norwood

Signs—Denise to do:  Need at least three large Celiac Walk signs for park entrance, parking lot, hill area ; 6 more arrow signs; sponsor/donor sign

Need the megaphone from Cincom (Barb); walkie talkies

Day of Walk - Maria coordinating.
Maria emailed Mark Conover with Army Nat’l Guard—they could help with setup, parking lot, directions, etc..if we let them have space to talk about the things they do—wife has CD—if no student groups available, could handle water and recycling too
Maria to check with park rangers regarding mounted ranger to talk to the kids
May need additional tent space
Denise--Renting a small truck or van the day before the walk so that all baskets, tables, etc. can be taken at one time on Saturday morning.

Separate area for vendors providing samples and others selling products—who is selling? Moondance, Bread for Life

Maria working on the shelter layout—planning to put registration and T-shirts under the tent gazebo—need tables and chairs at end of the shelter;  Maria’s screened tent for T-shirts

Shelter space allocated to:  Information—Sports Nutrition 2Go, and possibly Prometheus; ROCK; Moondance; Jungle Jims, Wild Oats, CCSG Refreshments

Put water on the other side of the shelter closer to the road
Designate a person to bring up the rear of the walk (behind all registered walkers no matter how slow), to pick up the directional signs.

Volunteers:  We need people to help on the day of the walk—so far: Pre-registration—Sherryl Cornett; Day of registration—Robyn and Ed Beck; Raffle ticket and older T-shirt sales—Christine Schumacher; R.O.C.K.— Robin Temke; T-shirts, day-of--???; T-shirts, pre-reg—Katie Botkins, Laura, Hannah, Refreshments—Ann Barlow????;
Setup—stringing signs at shelter, water in tubs, recycling, put up gazebo, hang up signs and T-shirts at gazebo, help Maria place route arrows—must be able to ride a bicycle, help sponsors and vendors unload and set up, help with raffle prizes, Raffle drawing assistants—to keep track of winners—Barb Rothwell, Stephanie, Evette, Parking Lot Attendents—Bob Rothwell???? and ???;  cleanup.

Miscellaneous Notes for discussion: Need volunteers (friends, family, church people, neighbors…) on day of the walk
